1. Build a location record

Use specific locations so a maintenance team can find the same place without guessing.

List each observation date and location separately.
Record any live insects, cases, stains, or debris as observed.
Mention accessible leaks or gaps without opening fixtures or moving heavy appliances.
Attach selected photographs with matching filenames.

2. Make a specific request

A request for assessment is more actionable than an unsupported claim about species or infestation size.

Ask for an inspection or identification of the reported evidence.
Ask how to prepare the area and whether belongings should remain in place.
State relevant access constraints and use the property’s normal reporting channel.
Ask who will communicate findings and the next planned step.

3. Keep the follow-up factual

Record the response as well as new evidence. A lack of sightings during a short period does not prove the issue is resolved.

Save the acknowledgement and inspection date.
Record any identification as attributed to the person or company who gave it.
Keep treatment instructions and follow-up dates together.
Document new sightings with dates rather than adding them to an undated total.
